Privacy Policy

1. Who we are

Apex English Prep provides 1-on-1 online coaching and practice tools for English proficiency tests (IELTS, PTE, CELPIP, and LanguageCert). This website lets you contact us via WhatsApp to book a diagnostic session and access our online Student Practice Portal (/app).

2. What we collect

We collect only the information needed to respond to enquiries and deliver your practice and coaching experience:

• Enquiry & WhatsApp details. When you submit our enquiry form or message us on WhatsApp, we receive your name, phone number, email (if provided), target exam, current/target score, and notes.
• Student Portal account & study profile. When you create an account in /app, we store your name, email address, timezone, exam preference, target scores, and planned exam date via Google Firebase Authentication and Cloud Firestore (europe-west1).
• Practice attempts & speaking audio. For registered students, we store practice responses and teacher feedback. For enrolled 1-on-1 students, speaking recordings uploaded for self-review or teacher feedback are stored securely in Firebase Cloud Storage (europe-west1).
• Usage and analytics data. We use the Meta Pixel to understand whether our advertising leads to enquiries. The pixel records page views and button clicks on this site, along with technical data such as your IP address, browser, and device type.

We do not collect payment card details on this site.

3. How we use it

• To respond to your enquiry, personalise your study dashboard, and deliver 1-on-1 coaching and instructor feedback.
• To measure the effectiveness of our advertising (conversion measurement) and to show our ads to relevant audiences on Meta platforms.

We do not sell your personal data, and we do not share it with third parties except as described in section 4.

4. Third-party services

• Google Firebase / Google Cloud Platform (europe-west1). Provides website hosting, authentication, database storage (Firestore), and audio storage for the Student Portal.
• Meta (Facebook/Instagram). The Meta Pixel sends event data to Meta Platforms, Inc. under Meta's own privacy policy. Meta may use cookies and similar technologies for ad measurement and personalisation.
• WhatsApp. Enquiry and coaching chats are handled by WhatsApp (a Meta service) under its privacy policy.

5. Cookies and tracking choices

The Meta Pixel uses cookies and similar technologies. You can limit this tracking by using your browser's cookie controls, a private browsing mode, or an ad blocker, and by adjusting your ad preferences in your Facebook/Instagram settings. The page works without the pixel — only our ad measurement is affected.

6. Data retention

Student account profiles and practice records are retained while your account is active. Routine practice speaking audio recordings for enrolled students are automatically deleted after 90 days, and recordings submitted for teacher review (along with instructor voice feedback) are retained for up to 365 days. We keep WhatsApp conversations for as long as needed to handle your enquiry and coaching relationship.

7. Your rights

You can export your profile data as JSON directly from your Student Portal Profile page (/app/profile), and you can ask us at any time to access, correct, or delete your account and personal data. Contact us using the details below and we will respond promptly.

8. Changes to this policy

If we change this policy we will update this page and the "last updated" date above.
